How to write a WhatsApp Business bio that gets more customers
Most WhatsApp Business bios say almost nothing useful. Here's how to write one that tells new contacts exactly who you are, what you do, and why they should message you.
Step-by-step
- 1
Set up WhatsApp Business (not regular WhatsApp)
WhatsApp Business is a free app separate from regular WhatsApp that gives you a business profile, automated messages, quick replies, and a catalogue feature. Download it from the App Store or Google Play on Android or iOS. You can use it with the same number as your existing WhatsApp or with a dedicated business number. The profile fields are what we're optimising — business name, category, description, hours, address, and website.
- 2
Fill in your business name and category correctly
Your business name should be your actual trading name — exactly as it appears on your Google Business Profile and website. Your category should be as specific as possible: 'Hair Salon' not just 'Beauty'. This affects how you appear in WhatsApp's search results and how professional your profile looks when someone taps on your name.
- 3
Write your description (the bio)
The description field is 256 characters — roughly two short sentences. Use this formula: [What you do] + [Who for / where] + [Key benefit or differentiator] + [CTA or hours hint]. Example: 'Mobile nail technician serving Liverpool and Wirral. Gel nails, nail art, and acrylics done at your home. Bookings open Mon–Sat — message to check availability.' That's 183 characters and answers every question a new contact has.
- 4
Add your website link
The website field in WhatsApp Business is one of the most underused fields. Add your website URL here — it appears as a tappable link in your profile. This drives traffic from WhatsApp to your website, where visitors can see your full services, prices, reviews, and booking options. If you don't have a website yet, this is a good reason to get one.
- 5
Set your business hours
Adding your opening hours to your WhatsApp Business profile sets accurate expectations for new contacts. People messaging you at 10pm on a Sunday need to know you'll reply Monday morning — not that you're ignoring them. WhatsApp Business lets you set an automated away message that fires outside your hours, which handles this automatically.
- 6
Set up automated greeting and away messages
A greeting message fires when someone messages you for the first time or after 14 days of inactivity. Use it to set expectations: 'Hi! Thanks for getting in touch with [Business Name]. I'll reply as soon as I can, usually within a few hours. To speed things up, let me know: what service you're interested in, your location, and any preferred dates.' An away message (for out-of-hours) should give your working hours and when they can expect a reply.
- 7
Add quick replies for common questions
Quick replies are saved messages you can send with a / shortcut — they save time answering the same questions repeatedly. Set up quick replies for: your price list or starting prices, your service area, your availability calendar link, and your website URL. These aren't visible to customers until you use them, but they drastically speed up how quickly you can respond to enquiries.
Tips & best practices
- ▸Use a real photo of yourself or your work as your WhatsApp Business profile picture — not a logo. People buy from people, and a face builds more trust than a brand mark at this scale.
- ▸Keep your bio focused on one or two services. If you try to list everything, it says nothing. Lead with your most profitable or most searched-for service.
- ▸Add your WhatsApp number to your website using Adviita's WhatsApp button feature — so website visitors can tap one button to start a conversation, rather than having to save your number manually.
Common questions
What's the difference between WhatsApp and WhatsApp Business?
+−
WhatsApp Business is a separate free app designed for small businesses. It adds a business profile (with description, hours, website, and category), automated messages, quick replies, and a product/service catalogue. Your messages still appear in the normal WhatsApp interface on the customer's end — the difference is on your side.
Can I use WhatsApp Business on two phones?
+−
WhatsApp Business allows one primary device and up to four linked devices (including other phones). This is useful if you have a business phone and a personal phone and want WhatsApp Business on both.
Should I use WhatsApp Business or a contact form on my website?
+−
Both. WhatsApp converts at a higher rate for most service businesses because the barrier to message is lower and the conversation is faster. But contact forms capture leads in writing, are easier to track, and work for customers who prefer email. Offering both maximises your enquiry rate.
